Resolve a source question with a reason you can reuse

Inspect an original sales row, follow its commission calculation and record or reopen a review decision before the period is finalised.

The Review desk gives each questioned sale its own case. Start with the source and identify what is uncertain before choosing a treatment. Your recorded reason stays with the row, so the completed statement can explain an inclusion, exclusion or correction without relying on somebody remembering the conversation later.

The useful part

Confirm a supported calculation or exclude a line with a specific reason. Resolve missing rules, staff identities, date gaps and categories first; an exact previously-finalised match cannot be approved as a new sale.

Open the case or find its source line

Choose a case in the numbered strip on the Review desk. You can also open Sales, search by staff, invoice or item, and use Needs review to filter the ledger. A line may have several issues even when the case title highlights one. Read the issue list and the remaining-decision count. Missing rates, unknown categories and held matches can contribute zero to the current total, while some other unresolved lines already affect its arithmetic.

Read the original values before correcting them

In a case, select the filename and row number beneath the source receipt. The original source row shows the column values captured at import, before staff or category corrections made in Trimsum. Close source to return to the case. Compare the invoice, date, item, earning person and signed amounts with the supporting report. If an older record has no original-column snapshot, the dialog explains that it is showing current mapped fields instead.

Follow the basis, percentage and result

Inspect the sales amount, supplied or inferred tax treatment, commission basis and selected staff rate. In a dated workspace, also inspect Source name → linked person and the Selected agreement dates and ID. In a fictional refund, −$110.00 sales less −$10.00 tax produces a −$100.00 basis. At 40%, the result is −$40.00. If the source commission is zero, investigate that difference and the original sale’s rate before applying the reversal. A dated workspace uses the refund line’s date; it does not automatically recover a different rate from the original sale.

Resolve the reason the line is held

For a flat-rule workspace with a missing rate, open Agreements and enter the supported percentages. In a dated workspace, Staff identity needed means the row lacks a confirmed person ID: expand Link person or correct category, choose Person who earned this sale and Save correction. An active exact name or alias may have linked at import, but an archived or uncertain name needs a deliberate choice. No agreement for this sale date means no interval covers that person and date; choose Inspect dated agreements and correct the gap. An overlapping interval is invalid and cannot be approved away. For a category problem, use the same correction controls and Save correction.

A possible duplicate can be excluded or confirmed as separate after checking its source. Similar previously finalised sale means the invoice, date, item and amount match an earlier included sale but staff or category differs; it requires evidence and a reason before inclusion. An exact previously-finalised match remains blocked from inclusion. These checks search displayed saved history and closed records retained after restores. Changed item descriptions or amounts in a fresh export also require your own comparison.

Record the decision and check the saved result

A note needs at least three characters, but a useful one identifies what you checked. “Duplicate of invoice H-102, same source item repeated in the export” is more informative than “fixed”. Exclusion retains the row and its reason while removing its contribution.

  1. Enter the evidence and conclusion in Leave a reason, or Review note in the line dialog.
  2. Choose the case’s confirmation action or Exclude this source line.
  3. Wait for the save to complete before navigating away.
  4. Open View team statement and trace the affected staff total if needed.

Reopen when the evidence changes

Select the completed case while the period is still a draft and choose Reopen this decision. Its note remains available for a fresh review. In dated mode, changing an agreement can reopen the affected approved draft sales while unrelated approvals remain; changing calculation settings can reopen them more broadly. An excluded line stays excluded. After finalisation, use the saved record to understand the original decision; it is no longer an editable draft case. Keep any subsequent correction traceable to that record through your close process.
