Close a reviewed period and download its records

Check finalisation eligibility, name the run and download the actual staff summary and detailed audit CSVs from Archive.

Finalising turns the selected commission period into a saved record. It keeps the calculation, source lines and decisions together, then removes that period’s rows from the editable draft. Use this step only after checking the statement; the resulting exports support your next process but do not send payments or submit payroll.

The useful part

Resolve every open question, leave at least one eligible sale and confirm the correct period. Then save a named run and export its summary and detailed audit from Archive.

Check the period and its open questions

The footer shows Finalise after review while questions remain. Resolve them before proceeding. In dated mode, an unlinked person or a sale outside a matching agreement remains held even if somebody previously marked it approved. At least one included, unheld sale must remain. Open the date selector to inspect Start date, End date and the count of draft rows inside and outside those inclusive dates. If they overlap a displayed closed run, inspect the listed periods and confirm I checked the closed runs and need to review these dates before Apply period. That acknowledgment does not approve repeated sales; they still receive source-level checks. Rows outside the dates remain in the draft.

Read the team statement once more

Choose View team statement. Compare the calculated commission, any source comparison, each staff member’s included lines and the decisions listed below. Not fully provided means at least one source commission is unavailable, so do not interpret that missing comparison as a zero difference. For a fictional $80.00 service commission, $3.00 retail commission and −$40.00 reviewed refund, the staff total is $43.00. Confirm the refund treatment and period, not just the familiar result.

Create the saved run

The account server checks the current saved draft and its revision before creating the record. If another tab changed the workspace, reload the latest saved state and review it. Do not repeatedly submit from a stale page or assume an interrupted request failed without checking Archive.

  1. Choose Finalise & export, or Finalise this statement.
  2. In Ready to call it settled, check Total commission, team members and included sales.
  3. Enter a useful Run name and tick the confirmation for the period, rates and decisions.
  4. Choose Finalise run and wait for the successful save.

Download the staff summary

After a successful close, Archive lists the saved run. Choose Summary CSV beside it or open the run and choose the same action there. The file contains run identity, sample-data flag, period dates, AUD currency, staff name, services basis, retail basis, refunds basis, commission, basis setting and finalisation time. The service, retail and refund columns describe sales bases, not separate commission payments. Sample runs are marked SAMPLE so their exports can be distinguished from business records.

Download the line-level explanation

Open the run and choose Detailed audit CSV. This file includes source references and dates, staff and item fields, signed sales, supplied tax, commission basis, rate, calculated and reported commission, treatment, review reasons, notes, source file and source row. Excluded lines remain visible with their treatment. Blank reported commission stays blank. Keep the original export available too: the detailed audit gives a useful mapped calculation trail, while the source file preserves the report as it was received.

Keep the record and move to the next period

Later draft changes leave the closed record intact. Download a workspace backup for a portable recovery copy. The period selector offers Next weekly period and Next fortnightly period, starting the day after the currently saved end date for seven or fourteen days. Next calendar month selects the full month after that end date’s month; it can leave a gap if the current period ended mid-month. Inspect the proposed dates, then Apply period. Adding a later import keeps the selected period; its outside dates remain in the draft and appear in Sales when you select those dates for a later close. Replacing the draft selects the new file’s dates. Exported records still require your separate handover and payment process.
